So, here it is, the 2009 NNIN REU convocation is scheduled at Michigan this year, starting Sunday evening August 9th and ending Wednesday mid day August 12th. The convocation will be held around the EECS building, on the University of Michigan North Campus, in Ann Arbor, MI.
We will start Sunday at 5:30pm in front of the Baits dorms, more exactly outside the Parker House in Baits I, or near the front desk if the weather does not cooperate.
Updates as of Thursday Aug 6th:
- Directions for bus pickup: Buses will pick you up just outside of baggage claim, on the same level. Note that there is no parking at that level and buses will not be able to wait for extended period of time – they may have to loop around. After you pick up your luggage, please go outside and flag the bus when it approaches. They are easily recognizable: big blue buses with very large yellow “Michigan” letters on each side.
- Shuttle pickup: Directions have not changed. As a reminder, shuttles have similar policies to airlines regarding luggage (ie there are fees for oversize/overweight items or extra pieces of luggage).
- Internet access: there will be *wired* internet access at the dorms. Please bring an Ethernet cable with you if you need to use it. You will receive login and connection information Sunday evening.

Presentation/Posters Details:
A few things:
- We will use PCs with MS Office 2007 for the presentations.
- Presentations are scheduled 14min apart, which breaks down into 11-12min talk, 2min questions / answers.
- All presentations will be broadcast live and archived for later viewing.
- Posters should be no more than 4ft (48") wide and 4ft (48") tall.
- Posters should be printed at your sites and then brought with you or mailed by coordinators to us. If you do want to mail them, please let Sandrine Martin know and use the following address: University of Michigan, 1239 EECS, 1301 Beal Ave, Ann Arbor, MI 48109-2122 (phone 734 763 6719)
- Bring your presentation with you Sunday evening for uploading them on one of the UM computers.
Intern Housing and Transportation:
- Interns will be in dorms (in Baits residence hall, Lee house, mostly in double rooms) on campus, walking distance from the meeting rooms.
- Check in instructions are available here. Remember that we will meet Sunday at 5:30pm in front of the Parker House (or at the front desk in case of bad weather).
- Room assignments have been done to encourage further mixing between interns, so you are typically NOT be with someone from your REU site.
- Linens (pillow, blanket, sheets, towels and washcloths) are provided.
- All meals are provided from Sunday dinner to Wednesday lunch (both included).
- There will not be any printing option or wireless internet. There will be wired internet access in the dorms.
- All transportation to and from the airport and to the different sites of the convocation will be provided. Transportation schedule to and from the airport is now available here. Please check your flight schedule and let Sandrine Martin know ASAP if there are any errors!! Directions to the shuttle pick up for McNamara Terminal (Northwest, Delta, Continental) and North Terminal (US Air, United, Southwest). Directions to the buses pickup will be posted shortly.
Misc:
- Maps: Google maps of REU convocation sites, other related places and food places, which could be especially useful for before Sunday evening / after Wednesday afternoon. I'll update these as more questions come up. Also, general maps of Ann Arbor area and UM North Campus (see left pane to select the map)
- Parking for interns: If you are driving to the convocation, you need a parking permit, which is valid at the dorms ONLY. Go to this website to purchase it. For the name of Camp/Group, use “NNIN REU Convocation”. Note that parking is enforced 24/7, so you need a parking permit for the weekend too: if you arrive on Sunday and leave on Thursday, you need a permit for all 5 days. Note that UM parking officers are very zealous....
- Local Transportation: North Campus (where the convocation and dorms are located) is about 5-10min by bus/car from Central Campus and Downtown Ann Arbor. Parking downtown is difficult, but there is good public transportation. Alternatively, it is (only) 45min-1h by foot... See details of the UM Bus Routes website. There is one main bus stop on North Campus and one main bus stop on Central Campus / Downtown. See details on the Google maps. See links for details of weekend route (Northwood) and weekday routes (same as weekend, plus Commuter Southbound to Central Campus and Northbound back to the dorms/presentation sites).
Also, the city of Ann Arbor has a good bus system. Fares are $1.25, and routes and schedules are available on their website. The most useful route is probably #2 (between the dorms and downtown).
- Airport transportation for coordinators. Note that the airport is about 45min away, see here for information about transportation. If you are renting a car, most rental companies are available - they are listed on the airport website. If you are taking a shuttle, most require advance notice (reservations can be made online) and rides may be shared with a few other passengers, but it’s not too expensive. For instance we often use Custom Transit. Alternatively, there are taxis that are more flexible, although more expensive, about $60-65 each way to Ann Arbor.
- Local transportation and parking for coordinators. Parking permits for the campus are $9 per day. There are easy to use (and free) UM buses that run from central campus (Inn at Michigan League) to north campus where the convocation is. See above ("Local Transportation") for details. Otherwise, we also encourage you to carpool! If you will need a parking permit, please let Sandrine Martin know ahead of time and bring $9xnumber of days (cash or check) the first day of the convocation. The easiest is to park in the NC27 lot (see Google map of REU convocation sites for exact location). The permit lets you park in the "blue" spaces. Otherwise, there are visitor spaces ($1/hr). On Sunday, you don't need to pay or to have a permit.

- H1N1 flu update: Within the past few weeks, there have been 8 or 9 cases of influenza among campers in one program at Alice Lloyd Hall [not same campus area as the REU convocation]. These campers have been isolated from the rest of the population and are receiving appropriate attention and medical care. We are also monitoring the health of roommates who have been exposed to the virus. We have no reports of campers in other programs or locations having flu-like symptoms. We have met with representatives from University Health Service and the Washtenaw County Health Department and consulted guidelines for camps issued by the U.S. Centers for Disease Control and Prevention. We have not been advised to cancel camp activities. Interns that may have high-risk conditions such as pregnancy or chronic medical conditions such as severe asthma, diabetes, HIV disease, chronic lung disease may want to take additional precautions.

We expect everybody to arrive Saturday 8/8 or Sunday 8/9 during the day, before 4pm or so and to leave Thursday 8/13 morning. Convocation activities are scheduled from Sunday 8/9 evening until Wednesday 8/12 early afternoon. This allows the students (and staff!) to have some free, unscheduled time on Wednesday evening. Checkout time for the dorms is noon on Thursday 8/13. Let me know if you need to arrive on Saturday 8/8 – I already know about Stanford, and I expect that UCSB people may be in the same situation…
Housing:
• Students will be in dorms (Baits residence hall, double rooms) on campus, walking distance from the meeting rooms
• Coordinators will be in a hotel nearby. Here are the available options – surprisingly, it is a very busy week in Ann Arbor! Reserve as early as you can!
- Inn at the Michigan league 911 N University Ave (734) 764-0446. Block of rooms (11) reserved for "NNIN REU Convocation" until July 9th. Rooms are available Sunday-Thursday, $135/night, there are no rooms available Saturday night. Call for making reservation under NNIN block. The Michigan league is downtown Ann Arbor, on U-M central campus. UM buses provide free service to North Campus where the convocation is held.
- Lamp Post Inn 2424 E. Stadium Blvd, (734) 971-8000. Block of rooms (15) reserved for "NNIN REU Convocation" until August 2nd. Rooms are available Saturday-Thursday, $45/night. If making reservation online, use “NNIN” as group code. This is a basic, functional motel, next to the local Trader Joe. It’s about 4 miles from North Campus where the convocation is held. Free parking, and you would most likely need a car to get around (public transportation is available but not extremely convenient to go to North Campus).
- Vitosha Guest Haus (B&B) 1917 Washtenaw Ave (734) 741-4969. No block of rooms reserved, but as of 4/20/09, there are 8 rooms available Saturday-Thursday and 2 more rooms available Sunday-Thursday. Check website for room description and availability. Disregard the mention about cell phone calls needed for after hours access, that’s no longer needed. The Vitosha B&B is between the 2 hotels mentioned above, just outside of U-M central campus. You would most likely need a car to get around (public transportation is available but not extremely convenient to go to North Campus).
- Click here for a map of these 3 accommodations in relation to the convocation location. There are a few other options (including the dorms on campus) but none overly attractive……… Reserve as soon as you can, and let us know if you can’t find what you need.
Travel Arrangements:
The best (only?) option is to fly to Detroit Metro Aiport (airport code DTW), served by all major airlines, which is about 45min from the University of Michigan in Ann Arbor. Note that when planning flights out on August 13th –45min to get to the airport plus 90min to go through all security etc at the airport, and the interns won’t be happy if they need to take a shuttle at 4am….
We will provide transportation from the airport to the campus. Details will come as soon as we have final travel arrangement info from you (see below).

The first event will be the pizza/welcome party Sunday evening. If you come in on Saturday, we’ll give you some information and maps etc, but nothing will be organized.
All talks will be in two parallel sessions, we are planning 10min per talk + questions (students scheduled every 13min…)
